1. Who we are

ALMOTMAKEN Documents Clearing Services is a business setup and documents clearing company licensed by Dubai's Department of Economy & Tourism (Licence No. 941604), based in Business Bay, Dubai, United Arab Emirates. We have operated since 2021.

In this policy, "we", "us" and "our" mean ALMOTMAKEN Documents Clearing Services. "You" means anyone who contacts us, uses our website, or engages us for services. We are the data controller for the information described below.

2. Information we collect

We only collect what we need to answer your enquiry or deliver the service you have asked for.

Information you give us directly

Information collected automatically

• Usage data — pages viewed, approximate location by country, device and browser type, and how you arrived at our site.
• Technical data — IP address and server log entries, kept for security and troubleshooting.

3. How we use your information

• To respond to your enquiry and prepare a written, itemised quotation.
• To deliver the services you engage us for — company formation, licensing, visa processing, PRO services, attestation, and related document clearing.
• To submit applications on your behalf to the authorities listed in section 5.
• To keep you updated on the progress of your application.
• To meet our own legal, licensing, accounting and record-keeping obligations in the UAE.
• To improve our website and understand which services people are looking for.

We do not sell your personal information. We do not share it with third parties for their own marketing purposes.

4. Our lawful basis

We process personal data where:

• You have consented — for example by submitting an enquiry form or messaging us on WhatsApp.
• It is necessary to perform a contract with you, or to take steps at your request before entering one.
• We have a legal obligation under UAE law, including anti-money-laundering, licensing and tax requirements.
• We have a legitimate interest in operating and securing our business, provided your rights do not override it.

Where we rely on consent, you can withdraw it at any time by contacting us. Withdrawing consent does not affect processing already carried out, and we may still need to keep records where the law requires it.

5. Who we share your information with

Document clearing works by submitting your information to the authority that issues the approval. We share only what a given application requires, and only with:

• Government authorities — Dubai's Department of Economy & Tourism, the General Directorate of Residency and Foreigners Affairs (GDRFA), the Ministry of Human Resources and Emiratisation (MOHRE), the Ministry of Foreign Affairs, and the Federal Tax Authority.
• Free zone authorities — the specific free zone you are establishing your company in.
• Banks — where you have asked us to assist with a corporate account introduction.
• Approved medical centres and typing centres — where a visa application requires it.
• Attestation and legal translation bodies — where you have asked us to attest or translate documents.
• Our service providers — website hosting, email and analytics providers acting on our instructions.
• Professional advisers or regulators — where we are required to disclose by law.

6. International transfers

Your information is primarily processed in the United Arab Emirates. Some of our service providers — for example website hosting and analytics — may process data outside the UAE. Where that happens, we take reasonable steps to ensure your information remains protected to a comparable standard.

7. How long we keep it

• Enquiries that do not become engagements — up to 24 months, then deleted.
• Client records and application files — for the duration of the engagement and afterwards for as long as UAE licensing, accounting and anti-money-laundering rules require, which is generally at least five years.
• Website analytics — retained according to the settings of our analytics provider.

When we no longer need your information, we delete it or securely destroy it.

8. Your rights

Subject to UAE law, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, you may ask us to:

• Tell you what personal information we hold about you and provide a copy.
• Correct information that is inaccurate or incomplete.
• Delete information we no longer have a lawful reason to keep.
• Restrict or object to certain processing.
• Withdraw your consent where we relied on it.
• Receive your information in a portable format.

To make a request, contact us using the details below. We will respond within a reasonable period. There is no charge. We may need to verify your identity first, and we may be unable to delete records we are legally required to retain.

9. Cookies and analytics

Our website uses cookies to keep the site working correctly and to understand how visitors use it. We use Google Analytics to collect aggregated statistics such as page views, traffic sources and approximate location by country.

You can block or delete cookies through your browser settings. Doing so may affect how parts of the site function. You can also opt out of Google Analytics using the browser add-on Google provides.

10. Security

We take reasonable technical and organisational measures to protect your information, including encrypted connections to our website, access controls, and limiting access to staff who need it to do their work. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Please do not send passport copies or other identity documents over unsecured channels unless we have asked you to. We will tell you the appropriate way to send documents when your application requires them.

11. Children

Our services are directed at businesses and adults. We do not knowingly collect information from children except where a dependant's details form part of a family visa application made by a parent or guardian.

We may update this policy from time to time. The "last updated" date at the top of this page shows when it was last revised. If we make a significant change, we will make that clear on this page.
